How we handle your information when you visit Ferncrest, book a stay, or get in touch.

This Privacy Policy explains how Linton Hospitality, LLC (“Ferncrest,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit campferncrest.com, book a stay at one of our properties, contact us, sign up for our emails, apply for a job, or interact with us in any other way.
Ferncrest properties are independently owned and operated under license from Linton Hospitality, LLC. This policy covers the Ferncrest website and brand. Individual property operators may have additional privacy practices that apply once you arrive on-site.
Information We Collect
We collect information in three ways: information you give us directly, information collected automatically when you use our site, and information we receive from our service providers.
Information you provide
- Reservations. When you book a stay, our booking partner (Cloudbeds) collects your name, email, phone number, billing address, payment information, dates of stay, party size, and any special requests. Payment card data is processed by Cloudbeds and their payment processors — we do not store full card numbers on our systems.
- Contact and inquiry forms. Our contact, group stay, franchise, and job application forms collect the information you submit, including your name, email, phone, and the contents of your message. Job applications also accept resume and cover letter file uploads.
- Email and SMS sign-ups. If you opt in to our newsletter or text alerts, we collect your email address and (optionally) your mobile phone number.
- Gift cards. Gift card purchases are processed by our gift card partner (Gift Up), which collects purchaser and recipient information, including names, emails, and payment details.
- On-property information. When you arrive at a Ferncrest property, the on-site team may collect additional information needed for your stay, such as ID for check-in, vehicle information, or emergency contacts.
Information collected automatically
- Device and usage data. Like most websites, we automatically collect your IP address, browser type, device type, operating system, referring URL, pages viewed, and timestamps. This helps us keep the site running, diagnose problems, and understand how visitors use our pages.
- Cookies and similar technologies. We use cookies, pixels, and local storage to remember your preferences, measure how the site performs, and (where you consent) deliver more relevant advertising. See Cookies and Tracking below for details.
Information from third parties
We may receive information about you from our booking platform, payment processors, advertising platforms (such as Meta), and analytics providers. For example, Meta may share aggregated information about how ads we run perform, and Cloudbeds shares booking confirmations with us so we can prepare for your stay.
How We Use Your Information
We use the information we collect for the following purposes:
- Process and manage your reservation, including pre-arrival communication, on-property service, and follow-up after your stay
- Respond to your inquiries, support requests, and feedback
- Send transactional messages — booking confirmations, receipts, schedule changes, and account notices
- Send marketing emails and (where you have opted in) text messages about new locations, seasonal offers, and Ferncrest news. You can unsubscribe at any time.
- Process gift card purchases and redemptions
- Evaluate job applications and communicate with candidates
- Operate, secure, and improve our website and the experiences we offer
- Measure and improve the performance of our marketing, including ads run on Meta and other platforms
- Comply with our legal obligations and enforce our terms
- Protect the rights, safety, and property of Ferncrest, our guests, and the public
How We Share Your Information
We do not sell your personal information. We share it only in the following circumstances:
- Service providers. We share information with companies that help us operate Ferncrest, including:
- Cloudbeds — reservations and payment processing
- Gift Up — gift card sales
- Resend — sending transactional and inquiry emails
- Vercel — website hosting and file storage (including job application uploads)
- Meta (Facebook/Instagram) — advertising and conversion measurement (see Cookies and Tracking)
- Independently operated properties. When you book a stay, we share the relevant booking details with the operator of that property so they can host you.
- Legal and safety. We may disclose information when required by law, subpoena, or court order, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers. If Ferncrest or Linton Hospitality, LLC is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
- With your consent. We will share information for any other purpose if you ask us to or give us permission.
Marketing Emails and Text Messages
We only send marketing emails to people who have opted in. You can unsubscribe at any time using the link at the bottom of any marketing email or by emailing us at info@lintonhospitality.com.
If you opt in to text messages, message and data rates may apply. Message frequency varies. You can stop messages at any time by replying STOP, or get help by replying HELP. Consent to receive text messages is not a condition of any purchase.
Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, use, alteration, or destruction. We rely on reputable service providers (such as Cloudbeds and Vercel) that maintain industry-standard security practices. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Data Retention
We keep your information for as long as needed to provide our services, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. Booking and payment records are typically retained for at least seven years to satisfy tax and accounting requirements. Marketing contact information is retained until you unsubscribe.
Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your personal information
- Object to or restrict certain uses of your information
- Receive a portable copy of the information you provided to us
- Withdraw consent where we rely on it (this won't affect processing that has already happened)
- Opt out of marketing communications at any time
To exercise any of these rights, email us at info@lintonhospitality.com. We may need to verify your identity before completing your request. We will not discriminate against you for exercising any of these rights.
California Residents
If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you the rights described above, plus the right to know what categories of personal information we have collected, sold, or shared in the past 12 months.
We do not sell personal information for money. We do share information with advertising partners (such as Meta) for targeted advertising, which may be considered “sharing” under California law. To opt out of this sharing, email info@lintonhospitality.com.
Children's Privacy
Ferncrest is a family-friendly brand, and many of our guests stay with their children. Our website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.
Visitors from Outside the United States
Ferncrest is operated from the United States. If you visit our site or book a stay from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we'll change the effective date at the top of this page and, if the changes are significant, we'll let you know by email or by posting a notice on our site.
